1. Introduction and Scope
This Privacy Policy explains how Northern Utah PDR LLC collects, uses, stores, shares and protects personal information when a person visits the website at northernutahpdr.buzz, contacts the workshop, requests an inspection, books paintless dent repair work, or takes part in a fleet or dealership program. It also explains the choices available to individuals and the steps they can take to review or correct information held about them.
The website and the workshop operations are run by Northern Utah PDR, the developer name under which the registered business Northern Utah PDR LLC operates, with its principal place of business at 91 E 600 N Unit A, Tooele - 84074-1768, United States (US). References in this document to the Company, we, us and our mean Northern Utah PDR LLC, and references to the site mean the website published at northernutahpdr.buzz.
We are a small paintless dent repair shop. We do not sell personal information, we do not run advertising networks, and we do not operate a customer data brokerage of any kind. The information we hold is information a customer or a website visitor has chosen to give us, together with the limited technical records that any web server produces while serving pages. This policy is written to be read, not to be skimmed, and it describes our practice in plain detail so that a reader can understand exactly what happens to the information before deciding whether to share it.
This policy applies to the website, to email and telephone communication with the workshop, to in-person visits at the Tooele address, and to any written estimate, invoice or completion summary we produce. It does not apply to third party websites that a reader may reach through a link, because those sites operate under their own policies and their own practices.

2. Information We Collect
We collect the categories of information described below. Each category is collected only when it is needed for the purpose that the relevant section of this policy explains, and we do not add categories quietly.
Contact details
When a person sends a workshop inquiry through the contact form, writes by email, or calls the shop, we receive the name given, the email address used, the telephone number if provided, and the content of the message. The subject line and any description of damage are stored along with the message so the inquiry can be answered accurately.
Vehicle and repair details
To prepare an estimate and to carry out paintless dent repair we record vehicle make, model, year, color, plate number where relevant, panel descriptions, dent counts, photographs of damage before and after work, and notes written by the technician during the inspection. These records support the written estimate, the completion summary and any insurance documentation.
Claim and billing information
Where a repair is connected to an insurance claim we may record the claim reference, the insurer name, the adjuster contact details shared with us, and the settlement information supplied by the owner. Where a customer pays directly we record the payment method type and the invoice amount. We do not store complete card numbers or bank account numbers at the workshop.
Technical and usage information
Our web server records standard technical data such as the requested page, the date and time of the request, the referring page where one is supplied, the browser type, the operating system family, and an abbreviated network address. This information is used for reliability, performance and abuse prevention, and it is not combined with workshop records.
3. Sources of Information
Most of the information we hold comes directly from the person concerned. A customer fills in the contact form, sends an email, calls the shop, or stands at the bench and describes the damage. In each case the individual controls what is shared.
Some information reaches us indirectly. A family member may arrange a repair on behalf of a vehicle owner. An insurance adjuster may send the claim reference and the approved estimate format. A fleet manager may supply a vehicle list with plate numbers and unit identifiers so that work can be logged per unit. A dealership may send a delivery schedule that includes vehicle identification details. In all these cases we treat the information as confidential workshop data and apply the same protections described in this policy.
A limited amount of technical information is generated automatically when a browser requests a page from our server. That information is described in the technical category above and is used only for operating the site safely and reliably.
4. How We Use Information
We use personal information for a defined set of purposes and we do not repurpose it without a fresh basis. The main purposes are the following.
- Responding to inquiries submitted through the contact form, by email or by telephone, and arranging inspection appointments at the Tooele workshop.
- Preparing written estimates, recording panels and dent counts, and documenting the condition of a vehicle before work begins.
- Carrying out paintless dent repair work and producing completion summaries with before and after images.
- Supporting insurance claims where the vehicle owner has asked us to do so, including sharing documentation with the named carrier and its adjuster.
- Managing fleet and dealership programs, including shared logs, scheduled rounds and program invoicing.
- Maintaining accounting records, issuing invoices, and meeting tax and business record obligations.
- Protecting the website and the workshop from fraudulent inquiries, abusive traffic and security incidents.
- Improving the clarity of the website and the accuracy of the estimates we write, based on aggregate feedback rather than on profiling any individual.
We do not use personal information to build advertising audiences, we do not sell it, and we do not trade it for services. Automated decision making that produces legal or similarly significant effects is not part of our operations.
7. Insurance Claims
Paintless dent repair is frequently covered by a comprehensive claim, and the documentation we produce is designed to support that process. When an owner asks us to assist with a claim, we collect the claim reference and the insurer contact details, photograph the vehicle in good light, record panel counts and dent dimensions, and prepare a written estimate in the format the carrier expects.
The owner remains the policyholder and the decision maker. We do not negotiate a settlement on the owner behalf beyond providing accurate documentation, and we do not discuss a claim with anyone other than the insurer, the adjuster and the owner unless the owner authorizes another party. Documentation is retained after the repair because carriers and owners sometimes need it months later for follow-up questions or supplemental review.
8. Retention of Records
We keep information only as long as it serves a documented purpose. Inquiry messages that do not become jobs are retained for a short period and then removed, unless the person asks to be kept on a list for a future season. Estimates and repair records are retained for the period needed to honor a workmanship follow-up and to meet business record obligations.
Accounting records, invoices and tax records are kept for the period required by applicable law. Insurance documentation is kept alongside the repair record so that a carrier can be answered promptly if a question arises later. Vehicle photographs are stored with the job record and follow the same retention period.
When a retention period ends, records are deleted or destroyed in a reasonable and secure manner. Backups that contain the same records are cycled out of service on their normal schedule so that the deletion becomes effective across all copies.
9. Security Measures
The shop is small, which makes security easier to describe honestly. Access to workshop records is limited to the people who work on the vehicle or handle the invoice. Digital records sit in accounts protected by strong passwords and multi factor authentication where the provider supports it. The website is served over an encrypted connection.
Paper job cards are kept in a locked cabinet when the shop is closed. Photographs are stored in a folder structure that separates active jobs from completed ones. Emails containing claim documentation are sent only to addresses confirmed by the owner or the carrier.
No method of storage or transmission is perfectly secure, and we cannot guarantee absolute protection. If a security incident affects personal information, we will investigate promptly, notify affected individuals where the law requires it, and take steps to contain and correct the issue.
10. Your Privacy Rights
Depending on where a person lives, privacy law may provide rights to know what information is held, to receive a copy, to correct inaccuracies, to request deletion, to opt out of certain sharing, and to lodge a complaint with a supervisory authority. We honor these requests for all customers and website visitors, regardless of the state in which they live, because consistency is easier to administer than a patchwork of rules.
Exercising a right will never result in a refusal of service, a higher price, or a lower quality of repair. The only limit we apply is the one the law permits, for example where a record must be retained for tax purposes or where deletion would interfere with an active insurance claim.
11. Access and Correction Requests
A person may ask what information we hold about them, ask for a copy, or ask us to correct something that is wrong. Requests can be sent to appointments@northernutahpdr.buzz or by post to Northern Utah PDR LLC, 91 E 600 N Unit A, Tooele - 84074-1768, United States (US). Please include enough detail for us to identify the record, such as the name used, the vehicle, and the approximate date of the visit.
We aim to acknowledge a request within a few working days and to complete it within thirty days. If a request is unusually complex, we will explain the reason for any delay and provide a revised timeline. There is no fee for a reasonable request, although we may charge a modest fee for repeated copies where the law allows it.
12. Deletion Requests
A person may ask us to delete the information we hold. We will honor the request where the information is no longer needed for the purpose it was collected, where consent was the only basis and is withdrawn, or where the law requires deletion. We will tell the person which records were removed and which, if any, must remain and for how long.
Typical exceptions are accounting records that must be kept for tax purposes, documentation connected to an open insurance claim, and a repair record retained to support a workmanship follow-up. Where a record must remain, we restrict its use to the purpose that justifies the retention.
13. Privacy for Children
The website and the workshop serve vehicle owners and fleet managers. They are not directed at children, and we do not knowingly collect personal information from a child under the age of thirteen. If a parent or guardian believes that a child has submitted information through the contact form, please write to appointments@northernutahpdr.buzz and we will remove it promptly.
Where a repair is arranged for a vehicle that belongs to a minor, the booking is handled through a parent or guardian, and the record is held under the adult contact details.
14. Marketing Communication
We do not send newsletters and we do not run advertising campaigns. Occasionally we may contact a customer about a seasonal hail inspection window or a follow-up on work performed, but only where the customer has asked to be contacted about it. Every such message includes a simple way to opt out, and opting out is recorded so the person is not contacted again.
We do not share contact details with marketing partners and we do not add a customer to any list without a direct request. If a person asks not to be contacted, the request is honored promptly and without question.
15. Fleet and Dealership Records
Fleet and dealership programs generate a different kind of record from a retail repair. The program manager supplies a unit list, we log work per vehicle, and invoices are matched to the unit rather than to a driver. Personal details of drivers are not required for this process and we ask program contacts not to send them.
Logs shared with a program manager contain vehicle identifiers, panels worked and time spent. They do not contain payment details, personal contact information or anything unrelated to the repair. Program records follow the retention rules described above and are removed when a program ends unless the contract specifies a longer period.
16. Business Transfers
If the business is sold, merged or otherwise transferred, customer records may be part of the transferred assets. In that event the receiving party would be required to honor this policy for information collected under it, and the transfer would be limited to the records needed to continue serving customers. A transfer would be announced on the website before it takes effect.
We would not transfer personal information to a party that intends to use it for a purpose materially different from the purposes described here without first seeking the consent of the affected individuals.
17. External Links
The website may link to a carrier portal, a map service or another resource that a customer finds useful. Those sites are operated by other organizations and are governed by their own privacy practices. We do not control their content or their handling of personal information, and a link is not an endorsement of their practices.
We encourage readers to review the privacy notice of any external site before submitting personal information there. We do not receive data back from those sites unless a customer chooses to share it with us.
18. Changes to This Policy
We review this policy at least once a year and whenever a change in practice or law requires it. When a material change is made, the effective date at the top of the page is updated and a short summary of the change is posted on the website. Continued use of the site or continued service after the effective date indicates acceptance of the updated policy.
Readers who want a copy of a previous version may write to appointments@northernutahpdr.buzz. We keep archived versions of the policy for a reasonable period so that a customer can compare what applied at the time a repair was booked.
19. How to Contact Us
Any question about this policy, any request to access or correct information, and any complaint may be sent to the workshop using the details below. We answer privacy questions in writing unless a telephone reply is specifically requested.
If a complaint cannot be resolved directly, the person may contact the privacy or consumer protection authority in the relevant state. We will cooperate with any lawful inquiry and provide the records the authority requests.
